Play Netball used to run everything in Excel. Manual data entry, bank statements checked by hand every day, payments matched to players one by one. It worked, until it didn't.

We've noticed the same few mistakes coming up again and again with league organisers, and most of them start the same way - something that worked fine at a small scale starts to buckle once the league grows.

A few examples from the guide:
📋 Registration and payments handled through manual forms or spreadsheets — leading to late fees, confusing sign-ups, and hours spent chasing payments
🗓️ Schedules built by hand, making it hard to adjust for cancellations or avoid double-booking venues
📣 Updates sent across emails, texts and social media, leaving parents and coaches feeling out of the loop

None of these are dealbreakers on their own. But stack a few together and suddenly admin is running the league, not the other way round.

Every league starts small enough to manage on a spreadsheet. The question is what happens when it doesn't stay that way...

More teams, venues, payments to track and more people to keep in the loop. Growth is exactly what you want, but it's also when the cracks start to show — the ones that were invisible when you only had one venue and twenty players.

The leagues that scale smoothly aren't the ones that got lucky. They're the ones that built for growth before they needed it, rather than firefighting once things started slipping.

A few questions worth asking yourself now, while things are calm:
🗓️ Could your scheduling process handle three more venues tomorrow?
💳 Would payments still run smoothly if your player numbers doubled?
📣 Is there one person holding all the knowledge, or could someone else step in if needed?

Future-proofing isn't about predicting exactly how big you'll get. It's about building a foundation that doesn't buckle when growth actually happens.
