Job Description
This role is for the Harley-Davidson enthusiast that currently rides, grew up around riding or just interested in the world of motorcycling. This person will work closely with the Marketing Director on setting up planned events and coordinating with vendors, staff and customers internally. This person will also support the Motorclothes Department Manager on answering phones, ringing out customers and understanding the Rider Rewards we offer our loyal customers. The best assistant event coordinators communicate well with the Marketing Director, and the staff internally, helping create a positive environment and momentum needed to keep our already thriving events growing and the best. Able to handle physical demands for event set up. The best customer service reps are genuinely excited to help customers. They’re patient, empathetic, and passionately communicative. They love to talk. Customer service representatives can put themselves in their customers’ shoes and advocate for them when necessary. These roles go hand in hand in our industry. And we are looking for the top candidates.
Job Title: Assistant Events Coordinator / Customer Service Rep
Directly report to Marketing Director for Events and Motorclothes Mangager for Customer Service Rep.

Skills Required of the job(s):
·Must have proper phone etiquette
· Must be able to learn a cash register software system (Talon)
· Must be able to handle cash, credit cards, checks, etc.
· Must be able to understand the Rider Rewards database and adjust customer issues that may arise.
·Takes direction from Marketing Director on event set up to communicate with internal teams.
·Takes direction from Motorclothes Manager on all cashwrap issues and scheduling conflicts.
·Able to handle physical demands of the job for event set up and breakdown. This is required.
· Distribute event one sheets and site maps to dealership staff
· Data Entry assigned by Marketing Director
· Communicate with vendors before, during and after each event to maintain relationships and understanding.
- Determine in-dealership events based on seasonality and promotional calendars with the Marketing Director from time to time.
- Fill in event budget sheets before and after each event.
- Communicate clearly with staff on upcoming events and address any questions or concerns.
- Communicate clearly with the Marketing Director on any event questions or concerns.
· Communicate the event details to affiliated HOG Chapter. Determine if HOG Chapter volunteers are needed or if they can promote the event.
- Inform staff of all event details and encourage them to share the details with customers.
· Create a one sheet about the event to ensure all employees fully understand event details.
· Determine, with Marketing Director, the staffing and roles required for the event.
- Determine, with Marketing Director, if any additional equipment will be required for the event.

· Provide Signup Sheets to each department to keep a checklist of attendees.

· Maintain a master list of all customers who have signed up daily.
· Ensure that all food and beverage delivery is confirmed.
· Create any/all entry forms and signage that may be required at the event. (Entry forms can be utilized for drawings, lead generation, promotions, etc.)
- Complete all preparation items for the day of the event.
· Collect and prepare any giveaways if applicable.
· Set up any special tables or displays.
· Set up any AV equipment if required.
· Pick up any food or refreshments if required.
· Must pick up trash, put away any items put out for event before the event is completed.
· Arrange motorcycles to display specifically for target audience.
