We’re presently hiring a Admin and Operations Assistant Support Person

Fitness entrepreneur seeking experienced executive assistant with a nose for organization (and a love for fitness is a must.)
The right person for this position will be a self-starter as you will spend a large part of your time working on your own. You’ll have regular shifts Monday-Friday with expectations to work some Saturdays. Working hours per day will vary and some work off-site/from home may be possible
There’s no formal office, our office for meetings will be the Fort Lee Location or the Fairview location, you’ll primarily work on your own. You will be required to work a few Saturday morning hours and willing to travel frequently (primarily to the Fort Lee & Fairview area.)

Who am I looking for?

1) The Basics
You’re tech-comfortable; if you can navigate Facebook and YouTube easily, that’s good enough.
You’ve got reliable high-speed internet and reliable electricity.
You can use Google Drive, Sheets, Docs, with it’s basic functionality. (Like creating a spreadsheet is ok, and if you need a formula you can Google how to do it.)
Your primary activity will be contact management and follow up using multiple mediums (text, email, phone, Facebook), you will spend most of your time setting and managing appointments for the salesperson.
Being a fitness enthusiast is a must! (A training certification is a huge bonus but not required, however we will expect and help you get certified.)
Though your primary function will be in an administrative role centralizing around appointment setting, you will also need to manage client documentation, some account management and ongoing client service.

2) You Love to Learn
You won’t be stuck doing data entry all day every day. You’ll be working in a real, small business right here in the Fort Lee & Fairview area, so you’ll get to learn a wide range of different skills, using different skills on different days.
We won’t be asking you to learn rocket science or anything. Some training will be provided, and all tasks are very learnable. For example, if you don’t know how to publish a blog post, we’ll be happy to teach you how.

3) You’d Like Meaningful Work:
You’ll do work that makes a meaningful difference for your Entrepreneur and his growing teams, and the customers they serve too.

4) You Love Checklists:
If you give your spouse/companion checklists, you’ll love working with us! Most days you’ll be creating and/or following checklists.

5) You Really Enjoy Organizing and Coordinating:
If you’re delighted by the sight of a perfectly organized filing cabinet, you’re probably a good fit!
You’ll also enjoy this work if you enjoy coordinating and orchestrating people. We’re looking for someone for a variety of tasks including:
Highest priority:
Working with another teammate to facilitate the creation and documentation of work processes and accountability checklists for team members at every level. (Our business is private fitness center which is why a love for fitness is a must to fully grasp our operations.)

Additional tasks will include:
Organizing data pertaining to company key performance indicators.
Finding subcontractors for various projects (graphic design, web development, contractors for various points of new business construction, all the way to a handyman and maintenance for current facilities.)

Be willing to take on anything to free up time for the CEO (even if this includes going to get groceries if that’s what’s needed.)
Potentially handling email inboxes, booking travel, set appointments, pay bills or any day-to-day schedule management activities.

Be able to manage clients and contacts through multiple channels and follow up on delinquent accounts when needed (email correspondence, Facebook groups, etc.)
Facilitate communication between teams and teammates.
The right person for this position will be able to grasp the vision of a project, organize, request and gather resources and hold team members accountable with only a few details.
The right person will be able to assist the CEO in a multitude of ways ensuring the best use of time, highest degree of organization, all for the maximal growth and benefit of the whole team.

This position will begin as an hourly P/T position estimated at 20 hours/week. For the right individual it will quickly grow quickly to a F/T position within just a few months.

Experienced Required:
Must have previous work experience organizing and creating processes/process manuals and checklists.
Previous experience or training as an executive assistant.
Not required but bonus skills that would be very favourable and quickly lead to more hours:
Basic knowledge of Simply Accounting suitable for data entry.

Compensation.
Compensation for this position is negotiable but it is expected to be $18/hour+ based on experience and what tasks can be quickly and competently assumed. The successful applicant will have immediate opportunity for increased earning potential and comprehensive benefits can be made available.

Though your primary function will be in an administrative role centralizing around appointment setting, you will also need to manage client documentation, some account management and ongoing client service.

You will work closely with the manager and be required to submit daily reporting. The right person will be a capable problem solver but 100% coachable. It’s expected that you will take initiative to solve problems or present possible solutions without direction, you will have direct access to a team and your leaders for support, your opinions are very valuable and will be asked for in how to improve processes, but other times you will need to be willing to accept that it needs to be done a specific way without question.

You will spend your day: Monitoring our email and ideally responding to new prospects in 30 minutes or less and current clients within a few hours. You will be required to set appointments and/or follow up with clients or prospects. Managing multiple contact streams (email, text messages, CRM, social media) Interacting with current clients assisting with client account management, documentation and scheduling. Having fun and changing the world!

Travel to career-building events, the potential for growth of position in this location or one of our others or onto a regional management position. What skills do I need today? Previous sales or administrative experience is a must. Basic fitness knowledge and a passion for working out is a must!
