Before you hit submit, look at the claim file like you were not the adjuster who handled it.

Can another professional follow the file without asking you to explain every step?

Review:
Assignment
First contact
Overview and risk photos
Relevant inspection areas
Damage documentation
Measurements
Scope
Estimate
Notes and correspondence
Anything unresolved

The goal is not just to finish the file.
The goal is to submit a file that another professional can understand and review.
Ten focused minutes before submission can save a lot more than ten minutes after the file comes back with questions.

**CAN YOU DEFEND THIS SCOPE?**

The estimate has two metal-patio roofing entries, each for 242.09 square feet. But an estimate line doesn't explain itself.

In our final Claim File Lab Short, we trace the item back through the patio overviews, condition photographs, general loss report, and roof sketch.

Photos 41–42 establish the location. Photos 43–46 document what was observed. The report records the adjuster's replacement recommendation. The sketch identifies face F9 at 242.09 SF, the same quantity used in estimate items 14A and 14B.

Then we check the dates and the limits of the file's conclusions. Good documentation supports an explainable scope; it doesn't replace the insurance company's final coverage decision.

A bad claim file can contain plenty of work and still tell the reviewer very little.
The issue is not always missing photographs or missing estimate items.
Sometimes the problem is that nothing connects.

For the roof portion of this claim, the complete chain included:
Overview → Test Square → Close-Up Damage → Measurements → Material Information → Estimate

Remove one piece and the file becomes harder to follow.
Lose the overview and you lose context.
Lose the test-square documentation and the reviewer cannot see how the slope was evaluated.
Lose the measurements and the estimate quantities become harder to verify.
The goal is not more paperwork.
The goal is a clear record.

Can you prove why every major item in your estimate is there?

Pick an estimate item and trace it backward.

Can you connect it to the scope?
Can you connect the scope to a measurement, note, photograph, or observed condition from the inspection?
If not, there may be a gap in the file.

The estimate should not create a new version of the claim. It should reflect what was inspected, documented, measured, and scoped.
If you cannot trace it, fix the file before you submit it.

Your estimate starts in the field, not when you open Xactimate.

Pictures are important, but pictures alone are not the scope.

Your notes are where you begin turning the inspection into usable claim information.

What material is involved?
Where is it located?
What quantity did you measure?
What dimensions matter?
What condition did you observe?

Those details become the foundation for the scope and, ultimately, the estimate.
Write notes your estimate can actually use.

Random inspections create random claim files.
When I inspect a property, I want a repeatable order:
Front.
Left.
Rear.
Right.
Interior when applicable.
Roof and other structures when needed.

The exact workflow matters less than having a workflow you can consistently follow.
A repeatable inspection process helps you organize your photographs, document the property systematically, develop your scope, and create a file that makes sense to the person reviewing it later.
Build a process you can repeat on the next claim.

Before the close-ups, give the reviewer the property.
One of the first photos in a property claim file should be a clear front-risk photo.
It establishes context.
This is the property I inspected.
This is what it looked like when I arrived.
That overview makes the damage photos that follow easier to understand and easier to review.
Start the photo file with context.

The first contact call should do more than schedule the inspection.
Before you arrive at the property, use the call to confirm what you received in the assignment and fill in the gaps.
Confirm the location and inspection time. Ask what damage is being reported. Find out about access issues, interiors, detached structures, pets, tenants, contractors, or anything else that could affect the inspection.
Then set expectations correctly.
Your job at the property is to inspect and document the reported damage.

Do not promise coverage.
Do not promise payment.

The inspection and claim file still have to support the decision.
The claim file tells the story.

Your first contact call should not start with you trying to figure out what the claim is about.
Before you call the policyholder, read the assignment.
Know the reported cause of loss. Know what damage is being reported. Look for interior involvement, other structures, access issues, special instructions, and anything that is still unclear.
The assignment gives you the starting point.
The first-contact call should help you confirm it, clarify it, and turn it into an inspection plan.
The claim file tells the story.

Can someone who was never at your inspection understand your claim file?
That is one of the best tests of whether the file actually works.
In our new AATX training video, we follow one real, sanitized hail claim from start to finish:
Assignment → First Contact → Inspection → Photos → Measurements → Scope → Estimate → QA
We look at why the file needs more than a stack of photographs or a completed estimate.
A strong file should show:
• what was reported
• what was inspected
• what was observed
• what supports the scope
• where the quantities came from
• why the estimate contains the items it contains
The claim file tells the story.
Getting licensed gets you through the gate. Learning how to inspect, document, scope and estimate is what prepares you to handle the claim.
