Weโ€™ve all been there.

The difference between audit panic and audit confidence often comes down to whether your system did the work automatically or left it to you.

Especially when the auditor calls at 4:47 PM on a Friday. ๐Ÿ˜…

If it takes hours to locate, your audit trail isnโ€™t doing its job. Being able to locate a change on demand is what helps you pass your audit.

Plenty of LIMS and tracking systems log everything, but still leave your team scrambling. The record exists, but you canโ€™t see it clearly.

A usable audit trail makes full sample history available on demand.

Search by sample ID, user, date, instrument, or event type, and export a complete record to PDF or CSV for auditors without system access.

See how Freezerworks pulls a full sample history.

When records arenโ€™t captured in the moment, teams end up scrambling to rebuild what should already be there.

The real challenge isnโ€™t finding data, itโ€™s proving what happened, who changed it, when, and why.

Audit trails provide traceability, data integrity, and reliable electronic records, so labs can demonstrate accountability and meet regulatory requirements.

Freezerworks 2 is browser-based, not cloud-based.

This distinction comes up in nearly every Freezerworks 2 (FW2) conversation we have โ€” especially with regulated labs โ€” because it affects what you can actually deploy.

Browser-based means you open Chrome, Firefox, or your preferred supported browser and start working.

โŒ No desktop client.
โŒ No installation on individual workstations.
โŒ No IT ticket for a new hireโ€™s first day.

On-premise means the server is yours. FW2 runs on your organizationโ€™s infrastructure, behind your firewall. Your data does not leave your environment.

Labs operating under data residency requirements, firewall mandates, or compliance frameworks that rule out third-party hosting can use FW2. The browser convenience is real, and the data control stays intact.

We have been building sample management software for labs with these requirements since 1987. Freezerworks 2 was designed with them in mind, not as an afterthought.

Quick compliance check for sample management systems:

Labs assume theyโ€™re covered under FDA 21 CFR Part 11 if their systems log who made changes.

But thatโ€™s only part of the story.

To be truly ๐˜ข๐˜ต๐˜ต๐˜ณ๐˜ช๐˜ฃ๐˜ถ๐˜ต๐˜ข๐˜ฃ๐˜ญ๐˜ฆ, a record should show:

โ€ข ๐—ช๐—›๐—ข made the changes?
โ€ข ๐—ช๐—›๐—˜๐—ก did they make it?
โ€ข ๐—ช๐—›๐—”๐—ง system did they use?
โ€ข ๐—ช๐—›๐—ฌ were they authorized to make it?

That last point is often where the gap appears.

After nearly 40 years of helping labs prepare for FDA audits, we've found one question that consistently exposes them:

If you canโ€™t show which role-based permissions were active at the time, you may have a compliance issue. Once an auditor finds one attribution gap, they often look more closely at every related record. In some cases, that can affect thousands of samples.

Your system should be able to track who had which permissions, when they had them, how they were assigned, and when they changed.

If an auditor asked today, could your system show not just who made a change, but whether they were authorized to make it at that moment?

CAP for sample management โ‰  CAP for general labs

A lab may meet general CAP requirements but still fall short if it uses the wrong checklist.

The most common CAP gaps we see in biobanks involve:

After 37 years in sample management, weโ€™ve learned this:

Spreadsheets rarely fail because the software breaks, they fail because the lab outgrows the process around them.

The shift usually happens quietly:

๐Ÿ“ˆ As sample volume grows, so does complexity.
๐Ÿง  Knowledge held by one person becomes a risk.
๐Ÿ”Ž Small data-entry mistakes become harder to catch.
๐Ÿซ† Traceability becomes harder to maintain across audits, teams, and locations.

At a certain point, the question is no longer:

Spreadsheets still have a place in many labs, but we've seen the same pattern across hundreds of biobanks: eventually, operational convenience and institutional requirements begin to pull in different directions.

Where is your lab on that curve?

Your lab may be missing some of the most powerful capabilities in Freezerworks, simply by staying on the desktop client.

The browser client gives your team:
