NOTICE OF SPECIAL GENERAL MEETING - 18th MARCH 2026

In accordance with the Club Constitution, notice is hereby given that a Special General Meeting (SGM) of Alexandra Amateur Swimming Club Incorporated will be held as follows:

Date: Wednesday, 18 March 2026
Time: 5.45pm - 6.30pm
Location: Meeting room at the pool

Purpose of the Meeting:
To consider and vote on the adoption of an updated Constitution to ensure compliance with the Incorporated Societies Act 2022 and current regulatory requirements in New Zealand.
The Committee has undertaken a review of the existing Constitution and proposes several updates to reflect the new legislative requirements and to modernise certain governance provisions. A copy of the proposed Constitution will be available asap - the committee are meeting this week to finalise a number of points.

To be clear, we need as many members as possible to attend this meeting. It is considered a Special Resolution and will require the approval of 15% of eligible members present and/or voting, in accordance with our current Constitution.

To make it convenient, the SGM has been scheduled on a training night in between squad sessions. Provided members are comfortable with the proposed changes, the meeting should take no longer than 45 minutes.

By law, we must adopt the new Constitution by 5 April 2026. Failure to do so may result in the Club being unable to maintain its incorporated status, which could affect our legal standing and access to our bank accounts. This SGM is therefore essential to formally adopt the updated Constitution.

Note - all members should have received this notice via email on 28th February. Please check your emails and reply with an RSVP by 11th March confirming your attendance.
